The Department of Agriculture, through its Bids and Awards Committee (BAC), intended to lease a venue including booth rental, set-up and amenities for the Halal Trade Fair and Exhibit to be conducted on November 22-25, 2017 (including ingress) in Davao City.

 

The lease of venue and accommodations will be undertaken in accordance with Section 53.10 of Revised Implementing Rules and Regulations of Republic Act No. 9184.

 

As such, you are invited to submit your establishment’s quotations/proposals duly signed by you or your duly authorized representative not later than __________, at exactly __________ for the item described below:

 

***Lease of Venue including booth rental, set-up and amenities for the Halal Trade Fair in Davao City on November 22-25, 2017
• The venue is fit to conduct exhibition with food tasting and retail selling
• With provision of meeting rooms
a. Two (2) meeting rooms on November 23, 2017 (9:00 am-1:00 pm) as holding area of fifty (50) VIPs before the opening of the exhibit. The rooms must be equipped with lights, air condition and with tables and chairs.
b. One (1) meeting rooms on November 23-25, 2017 (9:00 am-10:00 pm) for market matching activities. The room can accommodate 30 persons fully equipped with lights, air condition and with tables and chairs.
• The exhibition hall has an area minimum of 1,600 to 1,800 square meter to accommodate 70 exhibitors of 3X3 square meters per exhibitors

b. Event services and banquet team on standby to assist during set up and event proper
c. Stage
d. Podium
e. Microphones
f. DVD Player
g. Built in projector screen

Provision of area for posters, brochures and other promotional activities
• Janitorial and security services
Availability of janitors and security guards during the entire event
• Booth arrangements
a. Set up/mount 70 units of booth system with aisle carpet
b. 3 meters X 3 meters booth system with aluminum framing and versa board panels, area/booth carpet, I unit information table, 2 unit stacking chairs, 1 unit convenience outlet, fascia board with sticker cut fascia names, 1 pc. Trash bin, 2 pcs. Spotlights.
c. Customized 6X9 meter special designed booth for central setting for halal products display
d. Registration and secretariat counter with provision of close panel partition with water dispenser
e. Provision of storage area

  1. Business Permit;
  2. Electronically Filed Income or Business Tax Return [Filed through the BIR Electronica Filing Payment System (eFPS)]; or, Annual Income or Business Tax Return; and
  3. PhilGEPS Certificate of Registration.
